Event Policy

Sharing of Contact Information

LeadingAge MA values the connections formed during our events. To facilitate networking and collaboration among attendees, we may share your contact information (name, title, organization, and email address) with fellow attendees.

  • If you prefer not to have your contact information shared, please notify us in writing at least seven (7) business days before the event by contacting Sarah Lacasse at SLacasse@leadingagema.org

Photo and Video Consent

By attending this event, you acknowledge and agree that photographs and/or videos may be taken of you by LeadingAge MA or its designated representatives during the course of the event. These photos and videos may be used for promotional, educational, or other purposes by LeadingAge MA. If you do not wish to be photographed or recorded, please notify us in writing at SLacasse@leadingagema.org prior to the event.

Cancellations and Refunds

Our cancellation policy is designed to ensure fairness and accommodate changes in plans:

  • Cancellations by Attendees:

    • Cancellations received more than 10 days prior to the event will receive a full refund.

    • Refunds will not be guaranteed for cancellations made less than 10 days prior to the event.

    • All refunds are subject to a $15 cancellation fee.
    • All cancellation requests must be submitted in writing to Sarah Lacasse at SLacasse@leadingagema.org.

  • Cancellation of Vendor Booths
    • Exhibit registrations not paid in full 30 days prior to the event will be canceled.
    • Exhibit registrations received 30 days before the event or after must be paid in full at time of registration.
    • Exhibit registrations canceled 30 days prior to the event may be subject to a $150 cancellation fee. No refunds will be guaranteed within 30 days of the event.
  • Event Changes or Cancellations by LeadingAge MA:

    • LeadingAge MA reserves the right to modify or cancel events as needed. In such cases, attendees will be notified promptly, and a full refund will be issued if the event is canceled. LeadingAge MA is not responsible for non-refundable travel or lodging expenses.

Assumptions of Risk and Safety Protocols

By voluntarily attending this event, participants acknowledge that they understand and assume all personal risks relating to resulting injury, illness, damage, loss, claim, liability, or expense, of any kind, that they may experience or incur in connection with their attendance. LeadingAge Massachusetts will follow the health and safety practices mandated by the venue, or by applicable federal, state, and local authorities, whichever requires the most protection. Those practices and others will be determined closer to the date of the event and may become more or less strict between registration and the event.

Code of Conduct

LeadingAge Massachusetts is committed to providing a safe, productive and welcoming environment for all meeting participants and staff. Participants are encouraged to report any incidents of unacceptable behavior.

LeadingAge Massachusetts reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior, and LeadingAge Massachusetts reserves the right to prohibit attendance at any future meeting.

Unacceptable behavior includes, but is not limited to:

  • any form of harassment or discrimination
  • disruption of presentations during sessions, in the exhibit hall or at other events organized by LeadingAge Massachusetts
  • holding separate events during scheduled LeadingAge Massachusetts events
  • breaking down exhibits outside of specified teardown times
  • unsportsmanlike, unethical, illegal or disruptive conduct, such as tampering with another party’s exhibit or engaging in corporate espionage.
